We require the successful candidate to provide full administrative support to both management and consultants in the field. Duties include general administrative and secretarial work. To project a professional company image through in-person and phone interaction.
Roles and Responsibilities:
We work with a large number of consultants nationally. We require an administrative assistant to join our small, local team to provide full administrative support to both management and consultants in the field. Duties include general administrative and secretarial work. Attention to detail is of paramount importance.
Preferred Requirements:
· Recent administrative experience of 2-3 years in a busy business/educational environment.
· Proficient in MS Office 365, particularly Word and Excel.
· Experience using a CRM system including data entry. Experience of using the Sugar CRM would be an advantage but is not essential.
· Ability to follow established procedures.
· A third level qualification is preferred. A minimum of 2-3 years’ experience in a busy business/ educational environment with at least 2 A Levels or equivalent with GCSE Grade B or above in English and Maths (minimum).
Person Specification:
· Confident communicator with excellent written and verbal skills. A communicator who can pay particular attention to detail including grammar, punctuation and spelling.
· Ability to use own initiative and work to company deadlines.
· Methodical approach to managing work and strong organisational skills.
· Flexible and efficient attitude towards work.
· Ability to work as part of a small team.
Job Purpose:
Provide administrative support. Duties include general administrative and secretarial work. Project a professional company image through in-person and phone interaction.
Duties:
· Take all incoming calls, directing as necessary and act as first point of contact for the organisation.
· Provide information, advice and guidance to stakeholders with regards to the processes, administration and delivery of the service.
· Create and modify documents using Microsoft Office 365.
· Process, edit and proof-read reports produced by consultants in preparation for submission to clients.
· Manage, organise and update relevant customer data and contracts on a CRM system (Sugar) and associated follow-up of clients. Full training can be provided.
· Check, update and dispatch invoices electronically to customers.
· Monitor, update and liaise with clients with regards to annual presentation of awards including receiving, acknowledging and compiling list of attendees.
· Monitor and maintain current DBS records for all consultants.
· Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing (both paper based and electronic).
· Arrange and participate in meetings, conferences, and team activities.
· Update website accordingly as required.
· Book hotel accommodation for consultants as appropriate.
· Sign for and distribute packages and track all outgoing and incoming mail.
- Other duties as assigned.
Knowledge and Skills’ Requirements:
Customer focused with the ability to develop relationships with people at all levels.
An excellent working knowledge of Microsoft Office 365 (all programmes) and telephone protocol is required. Detail oriented with a commitment to excellence. Duties require professional verbal and written communication skills with particular attention paid to spelling, grammar and punctuation. Attention to detail is extremely important. In addition, candidates will be expected to have excellent skills in Managing Processes, Organisation, Professionalism, Courteousness and Confidentiality.
